Booth
Set Up
1) (Booth Marking/Power Determination/Table
Numbering)
Number booths on 2 upper corners
of each Exhibitor's booth as shown
on layout map. Mark booths that
need additional power & Phone
lines. Label the underside of all
tables, chairs & trash cans
with corresponding booth number.
2) (Booth Order Confirmation)
Using updated Decor form, go from
booth to booth to confirm that each
vendor has received their pre ordered
table & table coverings, chairs,
trash cans, & power. Make note
of those who have more than ordered
so we can confirm additional Furniture.
Report problems to your Coordinator.
3) (Sales & Dispatch - Booth
Décor & Furniture) –
Sell table covering, rent tables
& chairs to Vendors dispatch
table orders to table & chair
delivery team, confirm delivery
with vendor upon receipt.
4) (Table & Chair Delivery)
Refer to booth order Decor sheet
for your area to determine which
booths have ordered additional table
& chairs deliver tables &
chairs by size & quantity. tape
& number each piece on the bottom
with corresponding booth number
make delivery off of Decor chart,
call dispatch & have vendor
confirm receipt of additional order
if order was called in by dispatcher.
Bring Gloves. Must be able to lift
50 pounds or more for 4 hours, We
supply Dollies & Carts.
Check
In
1) (Krew/Staff) –
Signs in & out staff & krew
- dispatches them to Coordinator
via radio, make sure krew members
get to their scheduled job.
2) (Vendors/Exhibitors)
Checks in arriving exhibitors, cross
references exhibitors book to confirm
that full payment is on file. Issues
badges according to book.
3) (Speakers/Workshops)
Checks in Speakers/Workshop Presenters
and directs them to their room &
connects them with their Room Monitor.
Décor
1) (Banner & Signs)
Hang & take down Banners/Signs
as directed around venue.
2) (Pipe & Drape)
Must be tall - Assist with assembling
all pipe & drape throughout
the venue.
3) (Site Beautification)
Make sure all signs & banner
are hung, check to see that there
are flowers in all the workshop
rooms & that venue Decor is
light, steps have plants distributed,
clipboard with cross reference list
& pen.
Green
Team
1) (Recycling Station)
Break down boxes outside venue by
food court. Determine which containers
are for what type of waste. i.e.
compost, recycle, landfill. Prevent
exhibitor’s boxes from being
dumped into bins without being broken
down. Recycle materials as they
arrive to the area.
2) (Food Court)
Clear & sort materials left
on food court tables, wipe down
tables, recycle all literature left
on tables. Rotate recycle bins.
Educate patrons about our biodegradable
products.
Greeter/Line
Control
Welcome People, Direct ticket holders
to form a different line than ticket
purchases. Direct Non Ticket Holders
to Box Office for Ticket purchase.
Direct Krew/Staff/Presenters to
Check In to get their badges. Hand
out program guides. Prompt patrons
to fill out an info form on table
in front of venue.
Harmony
Patrol
Instruct Attendees & Vendors
without badges to go to the front
to access the building and to sign
in & get their badge. Provide
information to patrons via program
guide. Watch out for unattended
bags & for folks in areas that
are not theirs. All personnel should
have ID.
Info
Booth/Coat Check/Guest Services
Assist patrons with finding their
way around the venue by answering
questions & giving out program
guides. Check coats & packages
for $2.00 per item, tag item &
give patron matching tag number.
Install
1) Unload trucks & deliver product
to designated booth as noted on
freight. Bring gloves, We supply
dollies & wheel carts. Must
be able to lift 50 pounds or more
for 4 hours.
2) Must be able to lift 50 pounds
or more. Assist with venue set up
prior to vendor arrival.
3) Assist with workshop room set
up prior to opening of show.
Load
Out
1) Pack up all materials used for
checking in event registrants. Pack
up all check in areas & make
sure all is properly labeled &
ready for loading into the trucks.
2) Refer to booth order Decor sheet
for your area to determine which
booths have ordered table coverings
& skirting. Collect all table
skirts & clips. Gather all rented
tables bring them back to the freight
doors & stack for load out.
Office
Support (Phone/Computer)
Answer phone. Give directions using
Program Guide, look up schedules
for those inquiring via phone. Make
signs & badges as needed, support
office manager in any way possible.
Room
Monitor
Break Room Monitors for one hour
for a meal. Facilitate program.
Hand out data. Fill out presentation
form. Keep presenter on time. Send
Presenter to bookstore for book
signing.
Runner/Break
Provider/Support
General Set up support staff/check
in. Runs errands in & around
the area - may need to use personal
car. Gives breaks to staff members
as directed.
Ticket
Taker
Take tickets from entering patrons,
rip ticket in half offer to stamp
patron’s hand for easy in
& out. Direct those Exhibitors
without their badge on to put them
on while in the venue. Direct patrons
who need to purchase tickets to
the box office Smile & know
that you are the first impression
& greeter of the event. Train
replacement staff. Return hand stamp
to volunteer utility draw or Coordinator
at the end of the shift.
